AI Automation for Small Businesses: Where to Actually Start

Most small businesses I talk to about AI automation have the same instinct: start with something ambitious and visible. In practice, the automations with the best return are almost always the boring, repetitive ones nobody wants to keep doing manually.

Start With What's Already Repetitive

Before introducing AI at all, look for tasks that are done the same way repeatedly with predictable inputs, time-consuming but low-judgment (data entry, formatting, basic responses), and currently done manually because 'that's just how it's done.' These are the highest-ROI automation targets, with or without AI involved.

Where AI Actually Adds Value

AI earns its place specifically where judgment or language understanding is needed and a simple rule-based automation can't handle it:

  • Summarizing or categorizing unstructured text (support tickets, reviews, incoming leads)
  • Drafting first-pass responses that a human reviews before sending
  • Extracting structured data from messy inputs (emails, PDFs, form submissions)

A Realistic First Project

A good first automation for most small businesses: routing and summarizing inbound leads or support requests, so a human spends time on judgment calls instead of triage. This is usually buildable with a workflow tool plus an LLM API call, not a custom AI product.
